How we keep GroWild safe, fair, and welcoming for everyone.
These policies protect our families, our clinicians, and our space. All bookings — therapy, open gym, and rentals — are subject to these terms.
— SECTION 01
Booking, Cancellation & Refunds
All bookings are non-refundable — open gym reservations, and private space rentals. Therapy policies are per therapist disclosures.
Therapy appointments cannot be rescheduled. Each session slot represents reserved clinician time. When a session is missed, that time cannot be recovered for another family who may have needed it.
Private space rentals require a $250 non-refundable deposit at the time of booking. Remaining balance is due the day of your event. Your $250 receipt is confirmation your event is booked not other confirmation will be sent.
Open gym reservations are confirmed once payment is processed through Vagaro and are non-transferable.

Age Policies
⚠ SAFETY-CRITICAL
Children under 2 are not permitted on sensory equipment or padded floor zones at any time. This applies to open gym, and rentals. Equipment is designed for developmentally 2+ bodies. Therapy is at the discretion of the therapist.
Open gym ages 2–5 may attend only during designated 5–6 pm slots on Monday or Wednesday. Children ages 5+ may attend during the appropriate scheduled hours.
Teen Night (Fridays 8–10 pm) is for ages 13+ only. Drop offs are acceptable.
For rentals, hosts may invite children of any age, but under-2 guests may not access sensory equipment or padded play zones. Hosts who do not enforce this policy may be asked to end their rental early without refund

Adult Supervision Required
Every child at GroWild must be actively supervised by their accompanying adult at all times — not from across the room, not from a phone. GroWild is not a drop-off space.
For rentals, the host is responsible for ensuring all guests are supervised. The GroWild attendant supports the space — not individual children.
For Teen Night, teens 13+ may attend independently with a signed waiver. Attending adults are welcome but not required.

Outside Clinicians & Therapy Services
Open gym hours and private rentals are recreational use only. Outside clinicians, behavioral providers, and therapy professionals may not deliver clinical services of any kind on our premises during these times.
The therapy work that happens here is provided exclusively by GroWild's collective of credentialed clinicians, in order to maintain the integrity, fidelity, and trust of our clinical practice.

House Rules
Food and drink are permitted only on the wood-floor area. Never on mats or equipment.
No balloons, confetti, or glitter — at rentals or any GroWild event.
Decorations must be removable. No tape on custom woodwork.
Electronics use is prohibited during open gym, except for AAC devices or emergencies.
Equipment may not be moved. Setups are arranged by trained staff for safety reasons.
Scent-free environment. Strong fragrances may require return at a different time.
Hands must be washed after eating before returning to play areas (allergy safety).
Zero tolerance for hate speech, discrimination, bullying, or aggression toward children, staff, or other guests.
Lost & found items are held for one week, then donated.

Photo & Media Consent
Guests may take personal photos of their own children at open gym and rentals. Please respect the privacy of other families — do not photograph other children without explicit caregiver permission.
GroWild does not photograph guests without consent. If we plan to use any image for marketing, social media, or educational purposes, we will obtain a separate written release first.
Therapy sessions are confidential and not photographed except with explicit family consent for clinical or educational purposes.

Privacy
GroWild collects only the information needed to provide services — including contact details, booking information, and (for therapy clients) protected health information.
Protected health information is handled in accordance with HIPAA requirements and our internal data security protocols.
We do not sell or share contact information with third parties. Email lists are used only for GroWild-related communication. You may unsubscribe at any time.

Liability Waivers — required for all guests
Every guest age 0+ at GroWild — open gym, rentals, therapy, equine sessions — must have a current signed liability waiver on file. Choose the option that works best for you:
Sign online — 5 minutes
Complete and sign electronically from your phone or computer. Auto-saved to your record and only need updated annually
Hosts of private rentals: please share the online waiver link with all your guests before your event. Guests without a signed waiver will not be permitted to play.
